Summary:
The Program Manager is responsible for facilitating successful project delivery including the planning, scheduling, execution, and closing of all assigned projects within established budget/schedule. We are seeking a highly-organized professional to support executive leadership, board governance, and payer collaboration across Rush Health. This role manages Board of Directors and Joint Committee operations, including agenda development, material preparation, meeting facilitation, minutes, governance documentation, and platform management to ensure compliance and executive readiness. The position also provides broad administrative and operational support, coordinating calendars, contracts, purchasing, office logistics, data reconciliation, and cross‑team scheduling with leadership, payers, providers, and external partners. Ideal candidates are self-starters, detail‑oriented, trusted with confidential information, excel in executive-facing communication, and thrive in a fast‑paced, mission-driven healthcare environment.
Summary:
The Administrative Coordinator is central to many of the department wide activities, enabling efficient workflow and the achievement of department goals. With an understanding of the department’s strategies and objectives, the Administrative Coordinator is a key to budget, expense, and office management with minimal supervision. Required Job Qualifications:
• Bachelor’s degree.

Responsibilities:
1.Manages special projects/duties; coordinates and participates in department and project meetings.
2.Manages department’s various ongoing projects, including continually reviewing/identifying/implementing qualitative and process improvements.
3.Manage the preparation and electronic submission of all grants, proposals, progress reports, and any correspondence related to office activities in compliance with its respective requirements.
4.Responsible for monitoring cost center fiscal operations. Works with Administrator to conduct budget analysis, prepare annual budget analysis, and implement budget initiatives.
5.Assists in design and maintenance of necessary databases. Oversees proper maintenance and database entry.
6.Establishes and implements protocols for policy and procedures according to administrative guidelines. Monitors compliance and evaluates effectiveness.
7.Provides coordination and administrative support to department. Tasks include management of calendars and meeting requests, coordination/preparation of meeting agendas and materials, the development of PowerPoint presentations and Excel spreadsheet support.
8.Manage data collection, analysis, creation, and maintenance of databases.
9.Provides administrative support for the office and staff: answer phones, take messages, maintain electronic calendars. Assist all staff with coordinating meetings as well as record and distribute minutes.

Required Job Qualifications:
1.Minimum of 9 months of experience in nursing
2.Bachelor’s degree in Nursing (BSN) or Associate’s degree in nursing (ADN) .
3.Within 1 year from the date of hire, employee must be enrolled in a BSN program.
4.RNs hired prior to 10/22/2020 are grandfathered in with an Associate Degree in Nursing (ADN) or diploma in nursing, with no further need to obtain a Bachelor’s degree in Nursing (BAN or BSN).
5.Chief Nursing Officer must provide approval for any RNs with ADN degree hired after 10/22/2020, based upon unit need. ADN RNs hired after 10/22/2020 must show continued enrolment towards a BSN degree with a signature of contract stipulating a BSN degree must be completed within 3 years of hire. ADN RNS are not eligible for leveling to RN3.
6. Prior to leveling to RN2, RN must show consistent proficient performance at RN1 position or equivalent experience.
7. Current state of Illinois Registered Nursing License
8. CPR
9. ACLS for ICU, Telemetry, Med/Surg (6west), Endoscopy, PACU, IR, and ED required within 3 months of hire
10. PALS PACU and ED required within 3 months of hire
11. Proficiency in charge and preceptor roles.

Responsibilities:
1.Performs a variety of office functions including the retrieval and distribution of incoming and outgoing mail, faxes, filing, stocking of supplies, and preparation and dissemination of clinic correspondence and completion of Epic Administrative In-Box as directed.
2.Accesses EPIC to retrieve referrals, orders and other documentation. Assists patients with Release of Information requests.
3.Maintains and retrieves medical records per HIM and office protocol.
4.Addresses patient calls efficiently and courteously. Takes accurate, clear and concise messages that provide sufficient information for the clinical staff and/or receiving party to effectively handle the issue/request.
5.Schedules, cancels and/or reschedules patient appointments, as assigned. Places reminder calls or sends information to patients in advance of their appointment per office policy.
6.Appropriately transfers patients to pre-registration for insurance verification.
7.Prepares and disseminates patient letters and other correspondence from EPIC.
